Privacy policy

Last updated: 5 November 2026

This policy explains how Sealword (“we”, “us”) handles personal information when you use sealword.com. We handle it in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

  • Your documents. The photos or scans you upload (for example a driver licence, birth certificate or police certificate). These can contain identity details.
  • Order details. Document type, country and language, state or territory, purpose, delivery speed, number of pages and any notes you add.
  • Contact details. Your email address, and your name when you order. We save the email address you enter on our upload form as soon as you submit it, together with the files you uploaded, even if you do not complete the order, so that we can help you finish it or answer questions about it.
  • Payment details. Payments are taken by our payment processor, Whop. We never see or store your card number. We receive confirmation that the payment succeeded and its amount.
  • Website usage. Basic analytics and advertising measurement (for example which page you visited and whether an order was completed), through Google Tag Manager, Google Analytics and Google Ads, which may use cookies.

Why we use it

  • To prepare, certify and deliver your translation, and to contact you about your order, including to follow up if you uploaded a document but did not complete the order.
  • To take payment, issue refunds and meet our legal and tax obligations.
  • To prevent fraud and keep the service secure.
  • To measure and improve our website and advertising.

We do not sell your information and we do not use your documents for anything other than your order.

Who can see your documents

Your uploads are stored in private cloud storage. They can be opened only through secure links sent to the people working on your order: our team and the NAATI-certified translator who checks and certifies your translation. Our software prepares a first draft of the translation; every translation is then checked by a human translator.

Service providers and overseas storage

We use providers to run the service: Vercel (website hosting and private file storage), Whop (payments), Resend (transactional email), Anthropic (the AI that prepares the first draft of the translation; it does not use your documents to train its models) and Google (analytics and advertising measurement). Some of them store or process information outside Australia, including in the United States and Europe. We take reasonable steps to make sure they protect your information.

How long we keep it

Uploaded documents and order records are deleted automatically 30 days after payment. Files uploaded for an order that was never paid are deleted within 7 days. Your email address is kept for up to 30 days after you last used the form, unless you ask us to delete it earlier. We may keep payment records longer where the law requires it. The translation PDF we email you stays in your own mailbox.

Your choices and rights

You can ask for access to, correction of or earlier deletion of your information at any time through our contact page. You can block cookies in your browser settings; the site still works. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
